✓ All clients must complete a health screening questionnaire before commencing training.

✓ Please make us aware of any medical conditions, injuries, medications or changes to your health before commencement or during any programme you may undertake.

✓ Please aim to arrive on time; late arrival will reduce available session time.

✓ Personal Training & Coaching is designed to support your goals, with progress and results influenced by consistency, effort and personal commitment.

Consistent participation is essential for meaningful and sustained progress. Clients attending sessions irregularly or on an ad-hoc basis should be aware that this approach is unlikely to produce significant or lasting results.

✓ We aim to provide a safe, welcoming and respectful environment for all clients.

1. General

These terms and conditions apply to all personal training, small group training, coaching and related services provided by Paul at the studio. Booking or attending sessions indicates acceptance of these terms.

2. Health and Readiness for Exercise

  • Before starting any training, all clients are required to complete and sign a Physical Activity Readiness Questionnaire (PAR-Q) and health screening form. This is a standard requirement for insurance purposes and helps ensure training is appropriate and safe.

  • Clients are responsible for providing accurate and up-to-date information regarding their health. This includes any medical conditions, injuries, medications, or relevant changes in health status.

  • Where, in Paul’s professional judgement, a client is not currently in a suitable state to begin or continue training safely, they may be referred back to a GP, physiotherapist, or other relevant healthcare professional for further assessment or treatment before exercise recommences.

  • It is also important that clients inform Paul as soon as possible if they are feeling unwell or have sustained an injury prior to a scheduled session.

  • In particular, respiratory illnesses such as colds, coughs, flu-like symptoms or other contagious conditions should be disclosed in advance of training to reduce the risk of transmission to others.

  • Where appropriate, training may be modified, postponed, or rescheduled to ensure safety and wellbeing.

3. Sessions, Bookings, Payments & Subscriptions

  • Sessions are available by prior arrangement and are subject to availability.

  • All Personal Training and Coaching packages, subscriptions and services are payable in advance.

  • Clients are responsible for ensuring that payment details remain current and that sufficient funds are available for any recurring subscription payments.

  • Where a subscription payment fails or becomes overdue, future sessions may be suspended until the account is brought up to date.

  • Prices may be reviewed and amended periodically. Any changes to pricing will be communicated in advance and will not affect services already paid for.

  • Training sessions, subscriptions and packages are non-transferable and may only be used by the named client unless expressly agreed otherwise.

Subscription Commitment

  • Subscriptions are offered on an initial minimum commitment period of three months.

  • Following the initial term, subscriptions will continue on a rolling three-month basis unless cancelled in accordance with the cancellation terms outlined within this agreement.

  • This structure is intended to encourage consistency, accountability and long-term progress, which are important factors in achieving sustainable health and fitness outcomes.

  • Cancellation requests must be received before the next three-month renewal period begins.

Session Packages

  • Session packages are intended to support regular and consistent participation.

  • Unless otherwise stated, 10-session Personal Training and Small Group Personal Training packages must be used within three months of the purchase date.

  • Any unused sessions remaining after the expiry period will be forfeited.

  • Extensions may be considered in exceptional circumstances at Paul's discretion.

4. Cancellation & Rescheduling Policy

  • Clients are asked to provide a minimum of 24 hours' notice if they need to cancel or rearrange a scheduled session.

  • Where at least 24 hours' notice is provided, the session may be rearranged and rebooked, subject to availability and the terms of the client's package or subscription.

  • Cancellations made with less than 24 hours' notice, including cancellations on the day of a session, will normally be treated as a late cancellation and deducted from the client's package or subscription allowance.

  • Failure to attend a scheduled session without notice will be treated as a missed session and deducted from the client's package or subscription allowance.

  • Requests to change the time of a session at short notice will be treated as a cancellation and rebooking request and will remain subject to the terms of this policy.

Illness & Injury

  • Clients should not attend training if they are experiencing symptoms of a contagious illness, including coughs, colds, flu-like symptoms, norovirus, sickness or other conditions that may place others at risk.

  • Clients are asked to notify Paul as soon as possible if illness or injury affects their ability to attend a scheduled session.

  • Late cancellations due to illness or injury will normally be treated in accordance with the standard cancellation policy.

  • As a gesture of flexibility, one illness-related session per calendar month may be rescheduled, subject to availability. Rescheduling is not guaranteed and will depend upon diary capacity.

Cancellation by Paul

  • In the unlikely event that Paul needs to cancel or rearrange a session due to illness, emergency, or other unforeseen circumstances, the session will be rearranged at the earliest mutually convenient opportunity and will not be deducted from the client's package or subscription allowance.

5. Late Arrivals

  • Clients are asked to arrive on time for their scheduled sessions.

  • Where a client arrives late, the session will normally still finish at the originally scheduled time in order to avoid impacting other clients and scheduled sessions.

  • The full session fee or allowance will still apply.

  • If a client is significantly late, and in Paul’s reasonable opinion there is insufficient time remaining to complete a safe and effective session, the session may be shortened or cancelled and treated as a late cancellation.

  • Repeated late arrival may result in a review of the client’s booking arrangements.

6. Personal Training & Coaching Outcomes

  • Personal Training and Coaching are designed to support clients in improving their health, fitness, strength, and overall wellbeing.

  • While many clients achieve excellent results, outcomes will vary depending on individual circumstances, including but not limited to consistency, effort, lifestyle factors, nutrition, sleep, stress levels and adherence to agreed training plans.

  • Results cannot be guaranteed.

  • Consistent participation is essential for meaningful and sustained progress. Clients attending sessions irregularly or on an ad-hoc basis should be aware that this approach is unlikely to produce significant or lasting results.

  • For best results, clients are expected to commit to a level of consistency appropriate to their goals and to engage fully with the coaching process.

  • Where progress is slower than expected, this will usually reflect a need for greater consistency, lifestyle adjustment, or programme adherence rather than a failure of the coaching itself.

7. Studio Conduct & Safety

  • All clients are expected to behave in a respectful and considerate manner towards the coach, other clients, and the studio environment at all times.

  • Clients are responsible for moving safely within the training space and for paying attention to their surroundings, particularly where equipment is in use or positioned within shared areas.

  • Equipment must be used appropriately and in line with instruction. Clients are expected to follow coaching guidance to reduce the risk of injury to themselves and others.

  • Any behaviour that is unsafe, disruptive, or inappropriate may result in a client being asked to stop the session or leave the studio environment. In such cases, the session may be forfeited.

  • Paul reserves the right to refuse or discontinue training to any client whose behaviour is deemed unsafe, disrespectful, or incompatible with the safe running of sessions.

8. Liability & Assumption of Risk

  • Participation in Personal Training, Small Group Training and coaching involves a degree of physical activity and inherent risk.

  • By taking part, clients acknowledge and accept that they are voluntarily participating in exercise and do so at their own risk.

  • Clients are responsible for ensuring they are medically fit to participate and for disclosing any relevant health conditions, injuries or changes in health status in line with the Health and Readiness section of these Terms.

  • While every reasonable effort is made to provide safe instruction and a controlled training environment, Paul cannot be held liable for injuries, illnesses or adverse effects that may arise from participation, except where caused by proven negligence.

  • Clients are expected to follow coaching instructions and use equipment appropriately. Failure to do so may increase the risk of injury.

9. Photography, Video & Media

  • From time to time, photography and video recordings may be taken during training sessions for coaching analysis, progress tracking, or promotional purposes such as website or social media content.

  • Images or footage will only be used for marketing or public-facing purposes with the client’s prior consent.

  • Consent is always optional, and clients may decline at any time without affecting their training or coaching.

  • Where consent is given, clients may also request that specific images or footage are not used or are removed from public platforms.

  • Coaching analysis footage, where used, is intended solely for training purposes and is treated with respect and discretion.

10. Changes to These Terms

  • These Terms and Conditions may be updated or amended from time to time to reflect changes in services, business operations, or legal requirements.

  • The most recent version will always be available via the studio website or provided on request.

  • Where reasonable, clients will be informed of any significant changes in advance.

  • Continued use of services following any updates will be taken as acceptance of the revised Terms and Conditions.
